Definition
Employees in this class are under general supervision. Work performed in assisting with the Human Resource function and responsibilities of the institution and performing related work as required.
Characteristic Duties and Responsibilities
Serves as receptionist for the office.
Processes incoming calls and forwards to appropriate individual.
Processes applications for employment from applicants.
Explains application process and refers applicants to positions posted.
Administers typing test for clerical positions.
Makes and sends copies of applications to appropriate departments.
Maintains filing system for applicants.
Maintains daily count of all applications received for monthly report.
Performs clerical duties such as typing memos, letters of acknowledgment, reports and requisitions.
Enters and maintains data in HRS and Banner systems and in word processing files.
Processes Request to Hire forms and contracts and serves as resource person for these personnel transactions.
Reviews personnel transactions for completeness and accuracy.
Advises departments of approval for hires and of any additional information required to complete hiring process, i.e., W-4 card and I-9 form.
Gathers information from files and payroll office to prepare verification of employment for employees and previous employees.
Processes incoming mail and routes to appropriate individual.
Explains personnel benefits, policies and procedures.
Verifies information from personnel records for employees eligible for scholarship programs, i.e., spouse and dependents.
Supplies departments with copies of applications of those applicants available for temporary employment.
Performs other related duties as assigned.
Required Knowledge and Abilities
Knowledge of public personnel administration.
Knowledge of modern office practices, procedures and equipment.
Knowledge of interviewing techniques.
Knowledge of business English and arithmetic.
Ability to make arithmetic calculations and tabulations accurately.
Ability to type accurately from plain copy or rough draft.
Ability to maintain up-to-date files.
Ability to explain and interpret insurance programs for employees.
Ability to evaluate situations and make decisions.
Ability to establish and maintain an effective working relationship with the public and other employees.
Recommended Qualifications
Applicants possessing these qualifications have a good probability for success in this class. However, applicants not possessing these qualifications should apply if they believe their training and experience will enable them to perform the work successfully. Graduation from a standard high school including or supplemented by a course in typing. Experience in which a general knowledge of Human Resource transactions is learned.
