Definition
Employees in this class are under general supervision. Work performed in facilitating the efficient operation of the functions of the office by establishing priorities, workloads, work distribution and handling office policy decisions; performing related work as required.
Characteristic Duties and Responsibilities
Screens telephone calls and handles most of them to relieve the supervisor of as many interruptions as possible.
Prepares correspondence, signs supervisor's name and makes necessary decisions when supervisor is out of town.
Makes monetary arrangements, within guidelines, as well as lodging and other details for guest lecture.
Makes appointments for supervisor.
Establishes work priority within the office, distributes work, and grants leave to other office employees.
Discusses aspects of various problems and questions with appropriate department heads and outside consultants.
Assembles materials for preparation of program reports.
Takes and transcribes dictation from notes or a machine.
Performs other work as assigned.
Required Knowledge and Abilities
Knowledge of business English and arithmetic.
Knowledge of organizational rules, regulations, procedures and functions.
Ability to screen callers in person or over the telephone and handle the situation without referring it to the supervisor whenever possible.
Ability to compose a variety of memoranda and letters with only general instructions.
Ability to establish work priorities within the office work group.
Ability to evaluate situations and make decisions.
Ability to take and/or transcribe dictation at a working rate of speed.
Ability to establish and maintain an effective working relationship with the public and other employees.
Recommended Qualifications
Applicants possessing these qualifications have a good probability for success in this class. However, applicants not possessing these qualifications should apply if they believe their training and experience will enable them to perform the work successfully. Graduation from a standard high school including or supplemented by courses in stenography, typing and business practices. Experience in a responsible office support capacity.
